Booking of your event

- All bookings for private events must be confirmed in writing, either via sms, email or through Haydan's facebook. If an enquiry is made over the phone, Haydan will follow up the conversation in writing by one of the above methods, to confirm the details discussed on the phone. The booking will not be deemed as confirmed until the interested party have confirmed these details in writing.

- A booking fee of £50 is required for all private events. This booking fee is deducted from your total cost. (Quote of £280, £50 booking fee to be paid upfront and the remaining amount of £230 to be paid at a time agreed by both parties). A booking will not be deemed as confirmed until this booking fee is paid. 

- Haydan operates on a first come first served basis - If a booking fee is not paid, or a confirmation of details is not received, it is possible that your date may be given away if another event is confirmed before hand. Although Haydan will always try to avoid such an occurence, it is advised that you are efficient in completing this requirements to ensure that Haydan can be there for your occasion. 

- Booking fees are non refundable, except in special circumstances, outlined in the Cancellation Policy of these conditions. Please refer to this section for further information. 

- When making a booking, it is your responsibility to inform Haydan of any special requests or requirements that you might have. If not made at the point of booking, any requests such as specific songs, lighting or PA requests, or any other special requirements must be made no later than 8 weeks before the date of your event in order to give Haydan sufficient time to accommodate these. Any changes or additions to the terms agreed on at the time of quotation may be subject to an amendment of the initial quote, in which circumstances Haydan will inform you no later than 72 hours from the time of your informing him of the amendment. Any requests for amendments that are made less than 8 weeks before the date of event are subject to Haydan's discretion.

Leading up to / Date of your event

Haydan will contact the customer 21 days prior to the event to confirm the event is still going ahead and arrange any final details. If contact cannot be made, Haydan will try to contact again 3 days later, and again 4 days after that. If contact cannot be made, Haydan will attempt contact one final time 10 days before the date of the event. If at this time, contact still cannot be made then it will be presumed that the event is not going ahead, and the event will be cancelled in line with the Cancellation Policy.

It is the responsibility of the booker to ensure that there is an adequate space prepared at chosen venue for Haydan to perform in, alongside suitable power supply. Haydan requires a 2mx1m minimum space with at least 2 suitable power sockets. If this requirement is not met, it is possible that Haydan may not be able to setup and therefore perform. 

Haydan has a zero tolerance policy in regards to abusive behaviour. Should any guest at the event in question become verbally or physically abusive towards Haydan, then the event will be stopped - At this time the guest in question may need to be removed or Haydan may not be able to continue the event. 

Should any damages be caused to Haydan’s equipment due to the actions of a guest at the event, then the booker as the responsible party will be responsible for reimbursement of any damages. In such a case, Haydan will provide receipt of the cost of the damages, which the booker should pay within 28 days of the provision of receipt. 

Any outstanding balance must be paid before Haydan commences his performance on the date of the event. Payment must be made in either bank transfer or cash. If payment is not made before the start of the event, either prior to the date or upon Haydan’s arrival at the venue, then the event will be cancelled and Haydan will not perform. 

Cancellation Policy

If an event must be cancelled for any reason, then the following guidelines apply. 

If the cancellation is made with more than 4 weeks notice, then no fee will be payable, however the booking fee will be retained.

If the cancellation is made with less than 4 weeks notice but more than 3 weeks notice, a fee of £50 will apply, and should be paid no later than the supposed date of the event. 

If the cancellation is made with less than 3 weeks notice but more than 2 weeks notice, a fee of either 25% of the remaining total or £50 will apply, whichever is greater, and this should be paid no later than the supposed date of the event. 

If the cancellation is made with less than 2 weeks notice but more than 1 week, then 50% of the remaining balance will be payable and should be paid within 14 days of the cancellation.

If the cancellation is made with less than 1 weeks notice, then 100% of the remaining balance will be payable, and should be paid within 14 days of the cancellation.

For any of the circumstances listed in the above section (Leading up to/Date of your event) in which Haydan is unable to perform due to a breach of these terms, then the full fee will be payable and should be paid no later than 14 days from the date of the event. 

If Haydan has to cancel the event for any reason outside of the customers control, including but not limited to car problems, diary mistakes, gear malfunctions etc, then the booking fee will be returned and no fee will be payable. 

Haydan retains the rights to amend these terms and conditions as needs suit. Upon such an occurrence Haydan will provide notice of these changes through his official Social media channels. If the amendment to the terms causes a greivance, this must be raised with Haydan within 21 days of the changes.
